Position Summary

To provide executive level administrative support for the Chief Financial Officer.

Job Responsibilities

  • Be an integral part of our company culture, including coordinating team meetings, planning virtual company events, coordinating in-person events
  • Draft internal communications to all employees and draft responses to employee inquiries regarding operations-related matters
  • Prepare reports, collect and analyze information; prepare presentations
  • Read and analyze emails, letters, and agendas and route to appropriate personnel.
  • Record meeting discussions and provide minutes.
  • Answer and direct calls to appropriate parties
  • Greet visitors and set them up in conference room or waiting area.
  • Manage and maintain the CFO’s schedule, including travel, conferences, and making appointments
  • Perform Notaries
  • Other assignments as they develop

Required Education and Experience

  • Associates of Arts or Science degree required. Bachelor’s degree preferred.
  • 5+ years administrative support: at least two as an Executive Assistant.
  • CA notary, or be willing to become a notary
  • Advanced MS Office experience, including Excel (V-lookup) and PowerPoint
  • Proven time management skills and multitasking.
  • Possess excellent verbal and written communication skills as well as interpersonal skills.
  • Experience in accounting, payroll, HR, or finance helpful.
  • Self-starter who will look at office operations, see what needs to be done, and roll up their sleeves to handle it.
